About the Position

Reporting to the Associate Vice President (AVP) of Transition and Retention Services and in collaboration with departments within the University, the Educational Opportunity Program (EOP) Retention Advisor promotes San Jose State University's (SJSU) commitment to student retention efforts. Working independently under general supervision, the incumbent is primarily responsible for complex tasks regarding processes related to admissions counseling, and retention of an academically strong, culturally diverse, and socially conscious undergraduate student population. The Advisor serves as the retention advisor and program coordinator for students who require academic support coaching. Coordinates and provides a range of services to Former Students Returning (FSR's); supporting students' varied needs as they pursue their educational goals, including: educational support, academic advisement, instruction, and related assistance. The objective in all interactions is to provide information regarding policies and procedures, to suggest actions that will resolve admission and retention issues, and to facilitate FSR's successful return and integration into the SJSU community. This position will also provide academic advising to all Guardian Scholar Program (GSP) students and plan and facilitate monthly GSP meetings. Work closely with Student Outreach and Recruitment and the Educational Opportunity Program to provide outreach presentations to prospective GSP students.

Responsibilities include but are not limited to the following:

  • Manages a caseload of students who have been identified as "at-risk" or having specific needs.

  • Conducts in-depth interviews to assess students┬┐ needs, goals, major choices, and preparedness for university level work.

  • Develops individual Goal Plans with each student within the first 2 weeks of the semester.

  • Conducts one-on-one check-ins with each student at least twice per month.

  • Maintains student records to ensure milestones are being met.

  • Connects students to on-campus resources and activities as needed.

  • Provides on-campus academic advising for students and accompany them to the relevant services on campus.

  • Develops plan(s) geared toward removing obstacles to success, and similar such programs, in order to assist students who have fallen below the College's academic standard each semester.

  • Creates and facilitates academic success workshops, small group discussions and individualized consultation with students with GPA's below 2.0 on topics such as, but not limited to: time management, study skills, and financial literacy.

  • Maintains student records to monitor progress for the purpose of providing recommended solutions to improve students' success.

Education and Experience

Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job related field and two years of professional experience in one of the student services program areas or in a related field. A master's degree in a job related field may be substituted for one year of the professional experience.

Preferred Qualifications

  • Bachelor's Degree

  • Experience working in a higher education advising services environment.

  • Experience analyzing and interpreting university policies regarding admissions and enrollment.

  • Experience with working with at-risk student populations.

  • Experience with PeopleSoft, Gradesfirst and customer service based technology systems.

  • Excellent written communication skills.

Knowledge, Skills & Abilities

  • Strong oral and written communication skills

  • Knowledge of methods, procedures, practices and activities of the program area.

  • English grammar, business writing, punctuation, spelling and arithmetic.

  • Ability to compose and appropriately format correspondence and reports.

  • Ability to interpret and apply program rules and regulations.

  • Ability to reason logically; ability to collect, compile, analyze, and evaluate data and make verbal or written presentations based on the data.

  • Ability to use professional judgment to review and assess admissions requirements and documents.

  • Knowledge of technology and software applications such as: word processing, spreadsheet, database management, and communication tools.

  • Ability to learn PeopleSoft, Filemaker, OnBase etc. programs.

  • Ability to perform accurately in a detail-oriented environment.

  • Ability to plan and execute multiple work priorities, organize and plan work and projects.

  • Ability to advise potential students, parents, high school and community college staff individually and in group settings.
