The Patient Services Representative is responsible for facilitating the patient flow in the clinic by providing the support services necessary to schedule and register patients and to enter the appropriate charges for the services rendered. The Patient Services Representative is often the patient's first contact with Verity Medical Foundation and, as such, is responsible for presenting a caring, professional and positive image of the organization. The work completed by the Patient Services Representative allows the clinic to track patient visits, ensure a smooth patient flow for appointments, and to bill for the services provided. The PSR may move between a variety of departments and branches as needed or required.
*MAJOR JOB OBJECTIVES AND RESPONSIBILITIES: *
? Follows Standards for Service Excellence for Verity Medical Foundation.
? Schedules patients on the computerized system according to the organization's specifications, making sure all pertinent information is obtained.
? Maintains the physicians' schedule, including meetings, procedures, surgeries, physician time off and other commitments to ensure smooth patient flow.
? Monitors all calls for purposes other than appointments and forwards to appropriate nursing station according to the organization's specifications. Takes accurate and complete messages as instructed.
? Forwards all requests for drop-in visits to the physician.
? Makes sure all charts are available and prepared for scheduled appointments, if applicable. Creates charts for new patients and pseudo charts (specialty departments only).
? Accurately prepares labels for appointments according to VMF procedures.
? Verifies and/or updates patient's demographic and insurance information at the time of patient check in. This must be done for every patient visit.
? Collects the correct co-pay/office payment at the time of check in.
? Closes batches on a daily basis. Follows cash reconciliation policies and procedures. Follows policies and procedures with handling insurance checks and payment on accounts. Makes corrections of entry errors from work files as directed by supervisor.
? Checks and responds to emails sent electronically (for example: MyDocOnLine, Scribe, etc.) at least twice a day.
? Reviews each charge ticket for completeness. These must be turned in according to the organization's specifications in order to avoid open encounters.
? Observes VMF policies and procedures with regard to attendance, punctuality and appropriate use of sick leave and vacation.
? Performs other duties as assigned.
? Provides a professional role model for other personnel in performance of duties: For example, courtesy, adherence to dress code such as wearing a nametag, maintaining composure under pressure.
? Provides support and assistance to other team members to achieve departmental and clinic goals.
? Supports VMF's effort to comply with HIPAA, confidentiality and security requirements.
? Establishes and maintains effective working relations with other departments.
? Participates in orientation of new employees.
? Willingly accepts new responsibilities as the role of the PSR evolves.
? Maintains office supply inventory levels by completing appropriate requisitions and ordering stock according to established par levels.
REQUIREMENTS AND QUALIFICATIONS:
? High School Diploma or equivalent
? Minimum of one year experience in related field
Knowledge / Skills / Abilities:
? Knowledge of medical terminology, preferred
? Knowledge of basic computer systems, preferably prior experience with IDX
? Ability to type 35 words per minute
? Able to work well with other members of the department, back office, patients and physicians
? Excellent telephone etiquette
? Understanding of general office functions and ability to perform such duties
? Ability to work effectively in a fast-paced environment
? High integrity and confidentiality required
? Excellent communication and written skills
? Strong operations and computer industry systems exposure
? Repetitive hand motions; typing and mousing; sitting for long periods of time and taking incoming calls; may require some lifting, pulling and/or pushing up to a maximum of 25 pounds; occasional walking, bending, standing, stooping, and reaching; pleasant interactions with coworkers, patients and medical staff is a requirement of the job.
